Candidate Database: Overview

Section description

The "Candidates Database" subsection in the "Recruit" section is a repository of potential candidates who have gone through various stages of selection or have been added to the system for future consideration. Here, the admin can invite candidates to participate in the selection process for specific vacancies, send them job offers, and manage their data.

The admin can add new candidates to the database, edit their information, and delete outdated records. Additionally, the admin can mark specific candidates as favorites for convenient access and further work with them.

Each candidate is attended by a detailed profile featuring various tabs, such as Profile, Assessment, Interview, Job Offer, Notes, and History.

This section provides the admin with centralized access to candidate information and enables efficient management of their data at all stages of the recruitment process.

Feature Overview

Viewing the list of candidates

Within this subsection, users can access a list of potential candidates earmarked for upcoming job vacancies. Admins can view candidate profiles and apply filters and sorting options to identify suitable matches for open positions. Markers and tags streamline the process, expediting the identification of the most fitting candidates.


Adding a new candidate

Adding a new candidate is described in a separate article.


Editing candidate data

To edit a candidate's profile, click on the highlighted icon, select the editing option, or click on the candidate's name.

Make the necessary changes and save them.


Deleting a candidate

To delete a candidate from the candidate database, click the highlighted icon and choose the delete option.

Deletion is also possible from the candidate's profile by clicking the Delete button.


Inviting to a vacancy

To invite the candidate to the job vacancy, click on the relevant button within the candidate's profile or choose the option from the candidate's row on the main page of the subsection.

Select the appropriate job vacancy and attach the link where the candidate can review the vacancy details. Once done, an invitation will be sent to the candidate via email. If the candidate responds to the vacancy, the system will automatically create a profile for them in the "Applicant Tracking" subsection.


Sending a job offer

To send a job offer, click on the corresponding button in the candidate's profile or select this option from the candidate's row on the main page of the subsection.

Specify the job offer signing deadline and attach the file.

The admin can track the sent document in the "Job offer" tab or the "Docs" section.


Candidate's profile overview

The profile header contains the candidate's basic information, including their photo, links to social media, and key details.

The Assessment and Interview tabs store information about previously taken tests and interviews if the candidate has participated in the selection process for any vacancy before. This data generates an overall rating of the candidate, which is displayed in the profile header.

Tab "Profile"

The Profile tab provides all the necessary information to thoroughly assess the candidate and make informed decisions in the selection process. The tab includes the following sections and fields:

  • Markers and tags: Markers and tags help classify and quickly locate candidates in the future.
  • Skills: This field lists the candidate's competencies and skills, aiding in assessing their professional potential.
  • Cover letter: Additional information from the candidate complementing their CV, providing insights into their motivation and goals.
  • Experience: History of the candidate's previous employment, allowing assessment of their experience and alignment with job requirements.
  • Education: Details about candidates' education and professional development are crucial for evaluating their qualifications.
  • Expertise: Description of the candidate's professional knowledge and skills, aiding in understanding their specialization and level of expertise.
  • References: Contact details of individuals willing to recommend the candidate.
  • Languages: List of languages spoken by the candidate.
  • Additional fields: Admins can add custom fields for any additional information relevant to the candidate's assessment using the "Add new field" button.

Tab "Assessment"

Within the "Assessment" tab, you'll find a repository of all dispatched tests. Here's a breakdown of the test statuses:

Pending: The test has been dispatched to the candidate and awaits completion.
Passed: The candidate has effectively concluded the test, enabling the hiring team to review outcomes via the generated report.
Declined: The candidate opted out of taking the test.
Expired: The candidate missed the test deadline.

Tab "Interview"

In the "Interview" tab, the admin can view a list of scheduled and completed interviews with candidates if the candidate has already been through the selection process for any vacancy. The tab also contains information about the results of completed interviews, which are considered in the candidate's overall rating.

Tab "Job offer"

The "Job offer" tab stores all sent job offers to candidates. Documents can have the following statuses:

Sent for signature: The job offer has been sent and is awaiting signing.

Accepted: the job offer has been signed.

Declined: for some reason, the candidate declined the job offer.

Expired: The candidate missed the signing deadline. In such instances, the admin can resend the job offer.

By clicking on the document's title, the admin can view it in a separate window.

Tab "History"

The History tab records all events and actions related to the candidate's profile. It provides a chronological timeline of activities, such as when the candidate was added to the system, invited to interviews, sent job offers, or had any other significant interactions with the candidate. This comprehensive history log helps users track the progress of the candidate's journey through the recruitment process and provides valuable insights into past activities.
